Background

Responsibilities

  1. Executive Support to the UN Women Country Representative:
    • Manage the Country Representative’s calendar, appointments, and meetings.
    • Arrange travel and accommodations.
    • Handle calls for the Country Representative.
    • Maintain a roster of Country Office contacts.
  2. Administrative Support:
    • Support meetings, events, and workshops.
    • Organize and attend meetings, prepare minutes and summaries.
    • Assemble briefing materials and prepare presentations.
  3. Communication and Information Management:
    • Facilitate information flow within UN Women and with external units.
    • Review, prioritize, and route correspondence.
    • Respond to inquiries and draft routine correspondence.
    • Maintain organized and confidential files.
  4. External Relations Activities:
    • Facilitate interaction with external partners.
    • Meet and greet officials/visitors.
    • Ensure protocol matters and coordinate logistical arrangements.
  5. Knowledge Building and Sharing:
    • Support effective knowledge management.
    • Share knowledge related to administrative and operations support.

Required Skills and Experience

Education:

  • Completion of secondary education required.
  • Bachelor’s degree in business administration or public administration is an asset.

Experience:

  • At least five (5) years of progressively responsible administrative, secretarial, or program experience.
  • Experience with computer applications, Microsoft Office, and web-based management systems.
  • Experience with the ATLAS system is an asset.

Language Requirements:

  • Fluency in English and Kiswahili is required.
  • Knowledge of another UN official working language is an asset.
