About the Job:

Our client is seeking a dynamic Head of Operations to join their team. As the Head of Operations, you will lead the operations department and be responsible for managing the execution, direction, and coordination of all fleet matters within the company. This includes budget control, schedule and route organization, vehicle booking, documentation, tracking, performance reviews for subordinates, ensuring vehicle safety and compliance, and conducting scheduled trainings for subordinates to make them aware of their duties.

Responsibilities:

  1. Develop efficient driver schedules to maximize profits.
  2. Manage truck drivers to ensure compliance with the journey management plan.
  3. Plan and control budgets for all trip expenses.
  4. Develop strategies for greater fuel efficiency.
  5. Analyze data to increase business operational efficiency.
  6. Ensure truck availability for loading.
  7. Ensure trucks are booked, allocated, and dispatched for loading accordingly.
  8. Utilize GPS systems to monitor drivers and track vehicles daily.
  9. Ensure all dispatched trucks have proper documents aligned with registration cards, chassis numbers, and fixed on a specific trailer.
  10. Ensure daily reports are submitted, including customer daily going and return load tracking reports, internal tracking reports, breakdown reports, fuel orders, and master trip sheets.
  11. Confirm correct quantity delivery to the client at the destination and collect/submit PODs from the client upon return.
  12. Set performance targets, conduct and submit performance evaluations for all subordinates under the department.
  13. Review and confirm all trip expenses, vehicle parking bills, and trip invoices.
  14. Monitor vehicle performance, record-keeping, and improvement.
  15. Monitor and evaluate drivers’ trip performances.
  16. Maintain constant communication with drivers.

Key Skills:

  1. Good client/customer relations.
  2. Ability to use SAP/Smart Sheet and Air Table.
  3. Fluent in speaking English and Kiswahili languages.
  4. Integrity.
  5. Proficiency in MS Office Applications (Word, Outlook, PowerPoint, Excel).

Qualifications:

  1. Bachelor’s degree in transport and logistics from an accredited higher learning institution.
  2. Five years’ experience as Head of Operations/Operations Manager in Transport and Logistics.
  3. Knowledge in Vehicle Transit business in East Africa.
