About the Job: Talent Acquisition and Recruitment Administrator

Functional Responsibilities:
Administrative Support to Talent Acquisition and Recruitment:
- Provide essential administrative support to HR Associates managing recruitments across various stages of the selection process.
- Create comprehensive vacancy announcements in UNOPS’ online recruitment system.
- Coordinate office-wide email circulations for internal positions.
- Collaborate with local job website(s) for outreach activities related to internal positions.
- Manage the scheduling of interviews and written tests, coordinating with the hiring office.
- Support plagiarism and AI checks for written tests.
- Conduct background checks and initiate fee-setting exercises.
- Capture minutes during interviews and finalize overall selection minutes with active input from panel members (English-language panels).
- Support the entire recruitment cycle for internal positions up to ICS-7.
- Foster a fluid relationship with clients through continuous communication.
- Ensure completion of recruitment processes, including offers and rejections, updating the status of recruitment cases in the online information system in line with UNOPS policy.
- Prepare recruitment files and obtain necessary process approvals.
- Facilitate efficient, timely, and client-focused selections of new personnel.
- Liaise with relevant HQ and UN system units, exchanging information and following up on pending issues.
Support Process Improvements and HR Knowledge-Building Initiatives:
- Input and update accurate data and information to institutionalize and disseminate knowledge using technology and electronic systems.
- Assist with projects supporting recruitment-related initiatives to achieve business objectives according to the corporate HR strategy.
- Contribute to corporate HR initiatives and knowledge networks by collecting data on trends, risks, and opportunities, providing collaborative synthesis of lessons learned, and disseminating best recruitment practices.
- Support the delivery of training and learning initiatives for personnel on recruitment-related topics.
Education/Experience/Language Requirements:
Education:
- Completion of secondary education is required.
- A first university degree in Human Resources Management, Business Administration, Public Administration, or equivalent disciplines is desirable but not mandatory and may substitute for some required years of experience.
Experience:
- Minimum of five years of relevant experience in an international and/or national organization, providing support to recruitments and/or HR-generalist services.
- Proficiency in computers and office software packages, along with experience in handling web-based management systems.
Language Requirements:
- Full knowledge of English is required.
- Knowledge of another official UNOPS language is an asset.
Other Requirements:
- Within the required working hours (8 hours per day plus a 30-minute lunch break), some flexibility to accommodate recruitments occurring outside the Nairobi time zone (GMT+3) is expected.
