Job Purpose
- Provide high-level confidential support to the Chief Executive by delivering a full secretarial and administrative service.
- Drive and ensure the maintenance of the Company’s brand integrity across all company marketing initiatives and communications.
Responsibilities
- Provide full personal assistant support to the CEO:
- Deal with all correspondence and calls.
- Draft routine letters to a high standard.
- Minute meetings, prepare correspondences on behalf of CEO.
- Plan and organize CEO travel and accommodation when required.
- Take messages and handle other administrative tasks to support the Chief Executive.
- Act as a first point of contact.
- Proactively manage and coordinate the CEO’s diary:
- Prioritize and arrange internal and external meetings.
- Ensure appropriate required documents are prepared and provided.
- Service CEO’s meetings:
- Draft and collate papers and reports.
- Prepare manageable agendas.
- Take minutes and follow up on action points.
- Plan and manage key organizational events:
- Strategy meetings, conferences, and others as required.
- Participate and contribute to organizational/team meetings as required.
- Undertake any other appropriate duties as required to support the Chief Executive.
- Carry out all duties with complete discretion and a high regard for confidentiality.
- Manage brand strategy:
- Set style guides, brand guidelines, brand vision, and value proposition.
- Plan and execute all communications and media actions across all channels.
- Oversee the organization of events such as product launches, exhibitions, and photo shoots.
- Prepare budgets and submit estimates for program costs.
- Provide strategic input for the brand:
- Develop non-campaign brands in line with the company’s vision, mission, and objectives.
- Advise internal and external stakeholders on issues relevant to the brand.
- Manage press releases and media relations:
- Plan, write, edit, and circulate press releases.
- Coordinate with the media for advertising and promotional events.
- Update the corporate website regularly.
- Manage corporate promotional items:
- Source a variety of items, negotiate on quality and price, style, branding, and delivery.
Knowledge and Experience
- Bachelor’s degree or higher from a recognized institution.
- 3 – 5 years of relevant experience in a large and reputable organization.
- Excellent customer service experience.
- Analytical Skills, Communication & Presentation Skills, Administrative and organizational skills.
- Critical Thinking, Attention to Detail, Numerical skills.
- Professionalism and demonstrated ability to handle confidential information.
- Computer literacy in a range of current applications.
- Basic knowledge of printing technologies.
