Overview/Summary
The Grants Coordinator supports the IRC Tanzania country program in achieving high-quality programming and service delivery. This vital senior position involves coordinating program design, proposal development, grants management, communication, and partnership processes. The Grants Coordinator will lead a growing Grants Team and work closely with technical program coordinators, field leadership, and in-country support units to ensure effective program implementation.

Major Responsibilities

Business Development

  • Review and realize the Business Development Strategy closely aligned with the Tanzania Country Programme Strategy.
  • Lead proposal development in coordination with relevant teams, ensuring alignment with strategic objectives and donor requirements.
  • Contribute to budget development and management to ensure accurate cost estimation.
  • Liaise with HQ grants teams to ensure proposals meet internal standards and donor compliance.
  • Track upcoming opportunities and support decision-making processes for pipeline opportunities.

Grants Management & Compliance

  • Ensure grants are implemented in compliance with IRC and donor regulations.
  • Maintain understanding of IRC policies and donor terms across the grant portfolio.
  • Facilitate donor report reviews and approvals, ensuring timely submission of accurate reports.
  • Roll out and support project cycle meetings from opening to closeout.
  • Train and support program staff on donor compliance, report writing, and grants management.

Donor Relations and Communication

  • Develop an internal and external communications plan aligned with donor visibility requirements and advocacy goals.
  • Coordinate preparation of materials to support business development objectives.
  • Maintain relationships with donors, ensuring regular reporting and communication.
  • Ensure timely reporting to the NGO Registrar and other relevant authorities.

Sub-award and Partnerships Management

  • Support development of partnership strategy at country level and oversee quality sub-award management.
  • Participate in partner scoping and management during proposal development and implementation.
  • Review and advise on partner agreements, ensuring compliance with IRC and donor rules.
  • Organize meetings and monitoring visits to ensure partners’ program implementation is on track.

Staff Management and Capacity Building

  • Supervise Grants Team, providing training and guidance on donor compliance and program management.
  • Participate in recruiting, training, and mentoring Grants staff.
  • Build capacity of Grants and program staff in key donor compliance and project management principles.

Job Requirements

  • Post-graduate qualification/degree in relevant discipline preferred.
  • 5-7 years of experience in grants management and resource mobilization, preferably in humanitarian or development programs.
  • Knowledge of donor regulations and priorities, including UN agencies, European Commission, USAID, etc.
  • Experience in team management and capacity building.
  • Excellent organization and coordination skills.
  • Strong written and verbal communication skills in English, fluency in Kiswahili is an advantage.

Working Environment

Security level: yellow – Some parts of Kigoma experience insecurity-highway banditry.
