Job Summary: The Receptionist at Asilia Lodges And Camps Ltd will serve as the initial point of contact for guests/clients, providing outstanding customer service and administrative support. The ideal candidate should have excellent communication skills, attention to detail, and a proactive approach to handling various tasks.

Key Responsibility Areas:

  1. Warmly greet and assist guests/clients upon arrival, maintaining a friendly and professional demeanor. Offer refreshments according to Asilia standards.
  2. Manage all incoming and outgoing calls, accurately transferring them to the appropriate individuals while providing necessary information to callers.
  3. Provide guests/clients with comprehensive information about facilities and services, addressing inquiries promptly and accurately.
  4. Maintain a clean and organized reception area, ensuring it is always tidy and presentable.
  5. Update and maintain the internal telephone directory regularly.
  6. Monitor and report any issues with the phone system for prompt resolution.
  7. Assist in administrative tasks with accuracy and confidentiality.
  8. Coordinate flight bookings for senior officials upon request, ensuring timely and efficient arrangements.
  9. Handle office requests and concerns effectively, escalating issues when necessary for resolution.
  10. Manage inventory and ordering of office stationery to maintain adequate supplies.
  11. Coordinate office meals for functions, including set-up, food ordering, and payment of suppliers.
  12. Coordinate accommodation and transfers for visiting Asilia members from abroad.
  13. Update the Asilia blackboard daily.
  14. Update the birthday list for all staff members monthly and share it with camps. Send an email to each camp congratulating staff members celebrating a birthday.

Skills and Requirements:

  • Education: College diploma or equivalent; additional education or certification in office administration or hospitality is a plus.
  • Experience: Previous experience in a receptionist or customer service role, preferably in the tourism or hospitality industry.
  • Language Skills: Proficiency in English Language.
  • Knowledge of Tour Operations: Basic understanding of tour operations and the destinations offered by the company.
  • Professional Appearance: Maintaining a neat and professional appearance in accordance with the company’s standards.
