Summary:

The Human Resources Clerk will be responsible for administrative duties such as greeting visitors, handling documents, coordinating logistics for HR activities, and providing support to the HR Office. The position requires good organizational skills, attention to detail, and the ability to work under pressure.

Duties

Administrative Duties: 90%

  • Greet and assist visitors and callers, providing helpful responses to queries.
  • Handle HR-related documents, including receiving, stamping, distributing, and filing.
  • Assist with logistics for HR meetings, events, and travel arrangements.
  • Draft memoranda, letters, and other HR correspondence.
  • Administer calendar/schedule for HR officials, maintaining databases and files.
  • Answer general HR-related queries from external visitors and callers.

Other Duties: 10%

  • Serve as a main/backup Timekeeper for the entire Embassy.
  • Create and run special reports in OPS, ERA, or T&A.

Qualifications and Evaluations

Requirements:

  • Minimum two (2) years of experience in administrative or clerical field.
  • Basic knowledge of HR functions and host country laws pertaining to personnel functions.

Education Requirements:

  • Completion of high school.

Skills and Abilities:

  • Good working knowledge (Written/Speaking/Reading) in English and Kiswahili.
  • Knowledge of Microsoft Office.
  • Excellent customer service and communication skills.
  • Organized, diligent, and able to work under pressure.
