The role:
Junior Logistics and MIS Officer
Summary of the role: Responsible for overseeing and assisting the logistics department while coordinating with a team of like-minded individuals, as well as organizing and aligning department activities. In addition is responsible for data uploading, data interpretation, and data reporting in an organized and precise way and feeds the logistics systems used by the company accurately and precisely.
Responsibilities:
- Work with the logistics team leader for a position follow-up and any commercial issues
- Reviewing shipping instructions, confirming before sharing with forwarders and on time and correct shipping instruction
- Communicate with the client's team and respond timely
- Ensuring and updating full data entry on SOL i.e production plan, sampling plan, stuffing plan, targeted schedule, the reason for delay/rollover, pre-shipment, afloat, issue shipping advice, upload shipping docs with full, accurate, and timely SOL updates
- Follow up and confirm the dispatch of final shipping docs
- Book purchase invoices and send payment requests
- Maintain an effective and updated filing system of contracts, orders, shipments, and internal and external reports.
- General MIS report for Cotacof and STL.
- Dispatch original shipping documents on time
- Timely response to e-mail within 24 hrs.
- Send invoices booked and payment requests timely
Qualifications & Education:
- Bachelor’s degree or equivalent in Business, Logistics, Economics, and Clearing and Forwarding or related fields.
Experience:
- Minimum 3 years of working experience in Logistics preferably in the coffee industry
Attributes/ Skills:
- Advanced Microsoft Excel skills
- Experience in developing periodic reports
- Must have good communication skills
- Display ability to work in a group setting with an understanding of corporate hierarchy and chain of reporting
- Must display a forward-thinking ability to analyze and propose solutions to problems that might exist in their field of work to strengthen COTACOF’s operation
- Must display an ability to adapt to changing work conditions
- Working independently and proactively
Languages
- Excellent knowledge of English.
- Knowledge of French and/or any other language is a plus.
