JOB DETAILS:
• Coordinate the activities of the Administration functions to ensure effective execution of administrative tasks at the Plant, including the estates, office buildings and storage facilities
• Implement the approved operational plans and programs to facilitate the realization of the department’s objectives at the Plant.
• Oversee the identification and documentation of the Plant’s short and long term infrastructure/ facility requirements for input into the annual budget.
• Communicate the plans and programs to subordinates and ensure mutual understanding of roles, responsibilities and accountabilities.
• Oversee the provision of administration services for the Plant e.g. office supplies and consumables, office equipment, mail management, janitorial services, catering services, etc.
• Oversee the provision of travel and related requirements for staff, stakeholders and visitors to the Plant.
• Champion the implementation of 1st class maintenance for all the Plant’s assets and facilities.
• Coordinate the execution of all routine maintenance, renovation, and refurbishment of Plant facilities. Ensure timely requisitions are made for procurement of office supplies and consumables required for the day-to-day operations of the Plant.
• Coordinate activities of the fleet management unit:
• Work closely with fleet maintenance contractors to ensure optimal performance of the company’s fleet
• Ensure all documentation, licenses, registrations pertaining to the company’s fleet ate updated as at when due.
• Liaise with the Finance function to ensure accurate documentation of details for office furniture, equipment and fleet for provision of adequate coverage for the Plant’s assets against risks.
• Drive the implementation of a first-class maintenance and management culture for all office and residential buildings in the Company’s portfolio.
• Monitor to ensure conformance of the Company’s facility management practices to approved Health, Safety and Environment (I-ISE) policies and procedures. Proactively manage internal customer satisfaction levels to assess the performance of the Administration department in executing its responsibilities.
• Liaise with the Security Manager to manage and control access to DCP’s Plant facilities.
• Oversee the preparation of the department’s annual budget and monitor its implementation.
• Review and authorize expenditures/transactions for the department in line with approved budget and manual of authority.
• Collate reports on admin activities and submit periodic reports to the Head HR & Administration for management decision making.
• Perform other duties as assigned by the Head HR & Administration.
Requirements
• Bachelor’s degree or its equivalent in a Social Sciences or related discipline.
Minimum of eight (8) years relevant work experience with at least four (4) years in a senior management position
