Summary: The U.S. Mission in Dar es Salaam is seeking eligible and qualified applicants for the position of Supply Supervisor (Expendable) in the General Services Section.

Duties

Responsible for the overall expendable supplies program for Post to include the USAID and CDC offices. Oversees the ordering, storage, issuance, inventory, and maintenance of expendable supplies including Maintenance, Motor Pool, Administrative, Executive and Fuel. Responsible for the accuracy of the expendable property module in ILMS Asset Management. Ensures that adequate inventory is either on the shelves or on the way. Supervises two store keepers, two Warehouseman/Fuel and one Supply Clerk

Reports to the Warehouse Supervisor.

RECEIPT, STORAGE, AND ISSUANCE OF SUPPLIES 30%

Ensure proper receipt, storage, and issuance of supplies and fuel. In conjunction with the expendable storekeeper and customers, establishes minimum and maximum inventory levels. Establishes reorder points based upon supply sources and in consultation with procurement and shipping departments. Adjudicate requests/complaints from customers – solving where possible, and escalating where necessary. Makes surprise spot checks to ascertain management controls are in place.

RECORDS KEEPING AND REPORTING 30%

Directs paper and electronic records maintenance for all expendable supplies per FAM regulations. Reviews and approves reconciliation of stock and inventory counts. Manages the annual inventory of expendable supplies. Reports anomalies and corrects deficiencies according to the results of the inventory. Liaises with ILMS systems managers and administrators to ensure accurate expendable property records. Provides stock request training on a regular basis to mission employees. Prepares ad hoc reports, spreadsheets, and other documentation as necessary for the GSO or Management Officer.

CUSTOMER LIAISON 20%

In conjunction with ILMS analytics, ensures efficiency of expendable stock, by maintaining maximum and minimum reorder points, and leads the team in the Annual Expendable inventory. Liaises with customers to ensure that needed items are stocked and that outdated or unused items are removed from inventory. Maintains an up-to-date catalogue of expendable supplies and reissues on a regular basis.

LOANABLE PROPERTY 20%

Manages and oversees the smooth operations of the entire loanable property program including GSO Property items, Facilities Maintenance tools and Welcome kit items.

Qualifications and Evaluations

Requirements:

Experience: Five years’ experience in property supply fields is required.

Education Requirements:

Education: High school diploma and 2 years of university level studies are required.

Completion of Secondary School or Local Mandatory Schooling and received high school diploma

College (2 years) or Post-Secondary School

Evaluations:

Language: Fluent (reading, speaking, and writing) in English is required and Fluent (reading, speaking, and writing) in Kiswahili is required. “This may be tested”

Skills and Abilities: Driving License is required.
