Essential Duties & Responsibilities:

Manages the daily operations of the AHF Fund (including AHF Emergency Fund and Charitable Giving)

Provides administrative support in the global Girls Act programs

Manages AHF Fund (80%)


Prescreen nominations and applications to the AHF fund including supervisor approval of nominator, facilitating financial background check, solicitation of regional staff feedback and basic budget review/indications of quid-pro-quo.

Responsible for receipt and dissemination of grant applications to AHF Fund Committee with timely updating of application database, filing, and record keeping.

Supports the identification of strategic partnerships with country teams through the utilization of AHF Fund.

Responsible for coordination of AHF Fund Committee meetings, including bi-annual and annual End of Year meeting.

Develops correspondence for grant applicants to inform of grant award decision and completes subsequent grant agreement for review by legal department

Responsible for ensuring accurate payment processing to awarded organizations in collaboration with Accounts Payable department

Tracks all grant reports from grantees and ensures timely submission and documentation of program results to AHF Fund Committee

Tracks timely reviewing of grantees reports by AHF Fund committee members which then determines release of next allocation.

Maintains and troubleshoots any technical issues with the WizeHive database developers as needed.

Develops and supports efforts for promoting the AHF Fund as a tool for advocacy in-house, including a bi-annual webinar for potential nominators and spotlighting successful grantees.

Facilitates coordination of quarterly calls with the Director of Advocacy & Community Partnerships and the Regional AHF Fund Liaisons.

Help identify new partnerships with the Director of Global Advocacy and Community Partnerships and cultivates relationships.

Sharing AHF advocacy issues and priorities with grantees as determined by the department leadership

Schedules, assists and participates in bi-annual site visits with department leadership

Facilitates the creation of payment requests and required approval for sponsorships coming from AHF Charitable Giving.

Tracks payments and follow up payments of AHF Charitable Giving whenever needed.

Provides monthly financial monitoring report to the department leadership

GIRLS ACT (20%)

Provides administrative support and research to the Associate Director of Global Advocacy Operations

Prepares Girls Act monthly reports for the Associate Director of Global Advocacy Operations

Coordinates country budgets and track monthly expenses

Participates in Girls Act program strategic discussions

Represents the Chief and the department with accountability and integrity at all time.

Education and/or Experience

Bachelor’s Degree and at least 3-5 years related work experience


Computer/Software Skills & Abilities

To perform this job successfully, an individual should have proficient knowledge of Wizehive, Raiser’s Edge, Salesforce, or similar database management systems, Microsoft Office, Adobe Acrobat, and Google Suite. Experience with scheduling meetings is preferred.


Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.


Mathematical Skills

Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of American money and weight measurement, volume and distance.


Reasoning Ability

High Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
