WHAT WE CAN ACHIEVE TOGETHER
The IT Contracts Manager will work as part of a larger operations team within the Information Technology Business Unit (IT BU) serving as the point of contact for contracts and agreements creation, review, administration, and other procurement matters. The IT Contracts Manager provides strategic direction for the contracts and procurement function within IT. The IT Contracts Manager dedicates the majority of their time to supporting the contracts and procurement process for the IT BU including reviewing and processing agreements as well as supporting negotiations by redlining and providing recommendations related to business risk in addition to records management. They will provide contract administration guidance in compliance with TNC Standard Operating Procedures (SOPs) as well as related training, guidance and support to IT staff. This person will report to the IT Business Operations Lead and work with IT Leadership, the IT Business Operations lead, Purchasing, Legal, Information Security and related stakeholders to develop, implement, and provide oversight of the contract and procurement lifecycle management process for the IT BU. In coordination with the Purchasing, Contracts and Supply Management Office (PCSM), they will work to develop IT BU standards for bidding and submission, contract negotiations, and document management.

The IT Contracts Manager must become familiar with the systems and resources utilized by the IT BU for contracts and procurement administration and apply their knowledge to managing support related to these systems and resources. They will bring knowledge and an openness to learn and understand the technical aspects of IT agreements including software licensing, hosting, subscription, SaaS, enterprise agreements, etc. They will develop documentation, maintain and modify processes, and participate in the enhancement of systems and tools used by the IT BU for contracts and procurement administration. The IT Contracts Manager provides strategic direction for the contracts and procurement function within IT. The IT Contracts Manager will prepare reports on IT BU contracts for IT leadership, IT Contract Leads and IT staff. They will manage diverse tasks, analyze situations, evaluate alternatives, and implement solutions in order to improve the effectiveness and efficiency of the IT contracts processes. The IT Contracts Manager’s role in the contract development process requires close collaboration with various business units and departments, including Legal, Purchasing, Contracts and Supply Management Office (PCSM), Project Management Office, and IT Finance and Accounting.
IT Contracts and Procurement Administration
The IT Contracts Manager will oversee the IT BU’s contract and procurement development and management activities while enforcing organizational principles of integrity and compliance. They will provide strategic direction for the contracts and procurement function within IT. They will ensure that contracts negotiated within the IT BU are properly entered, tracked, and archived in the current contracts and procurement systems – and securely maintained. They will offer improvements to these systems and processes to advance efficiency, reliability, and data accuracy. They will educate and advise on matters of contract and purchasing compliance in accordance with TNC standard operating procedures and processes. Activities include, but are not limited to:
Oversee IT BU contract development and management activities and enforce organizational principles of integrity and compliance.
Provide support, communications and targeted training related to procurement and agreements/contracts to IT Staff.
Represent the IT BU in the Contracts Community of Practice and Purchasing Community of Practice by engaging and collaborating with contracts and operations roles across TNC.
Responsible for the functioning of IT Contracts systems and resources for the IT BU including but not limited to SharePoint site, contracts management system, and reports that provide access to active agreements, deadlines reminders, agreement review status, and other agreements related information. Support would include migration of IT contracts to new enterprise Contracts/Procurement Systems.
In conjunction with IT Leadership, the IT Business Operations lead and relevant stakeholders, develop standards for IT BU contract development, management, and administration. Develop and maintain processes and guidance specific to the IT BU.
Collaborate with IT Finance and Accounting Manager to develop, maintain, and report out contractual financial obligations and commitments to IT Leadership.
Maintain deadlines on deliverables and communicate regularly with internal stakeholders about contractual issues and matters.
Coordinate with Purchasing, Contracts and Supply Management Office to establish and maintain processes and service level agreements for support of IT BU purchases.
Support IT Staff by providing guidance and expertise on contracts and procurement processes.
Work as liaison between IT Contract Leads and the Purchasing department as needed to create
RFP/RFI’s and evaluate potential vendors.
IT Contracts Review & Management
The IT Contracts Manager, along with the IT Leadership, the IT Business Operations lead and relevant stakeholders, develop and maintain standards for contract management and administration for the IT BU in accordance with TNC standard operating procedures, policies and processes. They will also maintain deadlines on deliverables and communicate on an ongoing basis with IT Contract Leads, and other internal stakeholders about contractual issues that are managed within the IT BU. Activities include, but are not limited to:
Establish, maintain, communicate, and implement IT Contracts review processes and procedures to IT BU staff.
Review of contracts, providing recommendations on business risks to contract owners, coordinate the appropriate additional reviews, and obtain signatures for final execution, all in compliance with TNC standard operating procedures, policies, and processes.
Ensure contract negotiations within the IT BU are properly entered into the currently used contracts and procurement systems and securely maintained and ensure contract compliance against established procedures such as the Purchasing and Agreements SOPs.
Ensure that the proposed TNC signatory has appropriate Delegation of Authority.
Responsible for maintaining due diligence documentation in accordance with Purchasing and Agreements SOPs.
Coordinate as needed with other units such as Information Security, Digital Review Committee, Corporate Insurance, Legal, Ethics, etc for review and approval of agreements prior to execution.
Coordinate as needed between IT Contract Leads and TNC Legal in drafting, negotiating, and executing agreements.
WHAT YOU’LL BRING
Bachelor’s degree and 6 years related experience or equivalent combination, including 2 years
managing contracts and procurement functions;
Experience leading and implementing multiple projects;
Experience communicating/presenting to senior level audiences;
Experience working with teams across an organization;
Experience handling confidential information; and
Supervisory experience including setting objectives, managing performance, and conflict resolution.
DESIRED QUALIFICATIONS
Experience and understanding of the financial and accounting concerns of software/hardware, hosting, subscription, licensing and professional services agreements;
Experience with negotiating and managing large scale IT related contracts and agreements;
Experience generating financial reports, and analyzing and interpreting data;
Experience developing and administering budgets, payment schedules or equivalent;
Experience negotiating agreements;
Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
Ability to work in partnership with others in a collaborative or advisory role;
Demonstrated ability to conceive and write creatively for various audiences;
Experience developing, managing, and implementing goals, plans, and complex processes;
Expertise in current and evolving technology related to field of experience;
Expert knowledge of current and evolving trends in relevant discipline, preferably in a non-profit environment;
Proficiency in interpreting guidelines and manipulating, analyzing, and interpreting data;
Successful experience managing and implementing strategic program goals;
Superior planning and problem-solving skills;
Contracts and/or Procurement certification; and/or
Understanding of non-profit GAAP accounting concerns as related to contracting and purchasing.
SALARY INFORMATION
The starting pay range for a candidate selected for this position is generally within the range of $106,300-$159,500 for annual base salary. This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate’s location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
