ORGANIZATIONAL CONTEXT

At this level, the job holder is expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. In addition, assist the ICT inventory focal points on ICT equipment management, stock report, movement within Afghanistan and other inventory-related activities.

Furthermore, jobholders are typically expected to assist the ICT team in daily operations in line with business requirements.

JOB PURPOSE

To ensure the ICT stocks are well organized and all ICT items stocked in the appropriate location. In addition, this person will be fully engaged with the ICT team to produce the monthly inventory report. Performance Information Technology maintenance and support activities to enable the effective delivery of I.T. services.

KEY ACCOUNTABILITIES (not all-inclusive)

– Receive ordered assets and ensure their timely inspection. – Post Goods Receipt Note (GRN) upon receipt of assets and ensure the equipment registration system is updated recording. – Make sure that assets are labelled and recorded in the system on time (performed on the same date of the receipt of the assets); – Take responsibility for the maintenance of set standard systems and files to ensure information is accurate and readily available for the function – Review the state of support regularly, identify broken and obsolete items available for disposal or repair, update the system and ensure that the necessary information is shared with responsible units and/or asset focal point. – Proactively flag any issues to the Asset Focal Point(s) and/or management ensuring that they are aware of the situation and can secure and safeguard assets to the maximum extent possible. – Asset Focal Point should be on the alert for any unusual patterns or large requests for equipment or other assets and report, follow-up, resolve any issues. – Raise the necessary documentation for the assignment of assets to WFP employees and the transfer of assets to other WFP Offices and loan to partners (U.N. entities, governments, or cooperating partners). – Conduct assets labelling, reconcile and accurate inventory checks supporting internal control systems in compliance with the assets management requirements. – Perform regular inspections of the country office and field office assets and submit reports on the quantity of the equipment received/dispatched and handled. Furthermore, detect promptly and analyses reasons for stock discrepancies/damages, investigate the missing amount and prepare SCOPE store loss reports recommending appropriate solutions, to enable informed decision-making. – Implement appropriate measures to safeguard ICT equipment to ensure quality control using standard preventive measures in line with WFP established procedures. – Monitor the store and equipment condition and take appropriate actions to support efficient store space planning and well-organized equipment storage. – Provide supervision, guidance, and on-the-job training to WFP staff on inventory process management. – Provide ICT operational support to all WFP users across the country. – Follow up on all incidents and ensure all are closed, forwarded, and action has been taken promptly. – Properly Follow up, forward and close all ICT support tickets in the system. – Improve the response time to end-users through ticket confirmation and issue follow up. – Close coordination with ICT team on daily support and follow the ICT roster list.

STANDARD MINIMUM QUALIFICATIONS

Education: Bachelor’s degree in Computer Science or Information Technology. Experience: Four or more years of progressively responsible work experience in stock and inventory management.

Language: Fluency (level C) in English language, plus Pashto and/or Dari, preferably both.

Knowledge & Skills:

    • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
    • Knowledge of work routines and methods in order to complete processes under minimal supervision.
    • Knowledge of safety precautions
    • Ability to inspect and evaluate equipment/appliances and resolve malfunctioning quickly with other ICT staff.
    • Ability to carry out the installation of the ICT equipment/appliances expertly and sometimes under difficult and awkward physical circumstances.
    • Ability to multi-task and respond simultaneously and in a timely fashion to job requirements.

  • Ability to communicate clearly both orally and in writing and draft various correspondence.
  • Ability to work in a multicultural environment.
  • Strong knowledge of I.T. software and hardware.
  • Ability to carry out assigned tasks independently with little supervision

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  • Experience with equipment registration databases to monitor ongoing movement, shipments, insurance claims, and ICT equipment stock.
  • Experience analyzing the available stock of SCOPE and ICT equipment and share the final report to the ICT officer and asset focal point.
  • Proven ability and experience in executing strategic asset management processes successfully.
  • Excellent at performing multiple tasks at the same time without erring
  • Experience in providing technical business support in corporate systems.
