ESSENTIAL DUTIES AND RESPONSIBILITIES
• Provide service and documentation to at least 100 customers on a daily basis.
• Ensure that before issuing any loading document/card, the truck is accepted for Safe to Load inspection.
• Create loading form and issue automation card to drivers for loading.
• Ensure that local products are marked before trucks leave the gantry.
• Ensure that driver’s and truck details are the same as shown on the order (driver license and truck registration number).
• Where TIPER seals are needed, ensure to record the seal numbers to the loading form and then issue loading form, automation card and seal to the driver.
• Ensure that after loading, before issuing delivery note, the loading forms are signed by Supervisor and operator.
• Verify the amount of product loaded into trucks as indicated on loading forms against the required amount that was issued at dispatch office.
• Before issuing any loading document, ensure that the previous load complies with the loading procedure on product compatibility
• Report all near misses and deviation.
• Preparing delivery orders and ensure orders are dispatched:
• Obtains Customers orders from Customer Service Office in a systematic and organized way.
• Ensures efficient preparation of loading documents in order to avoid clients running out of product due to poor execution of tasks.
• Ensures that the customer orders are fully met, customer expectations are exceeded, and ‘best in class’ delivery efficiencies are achieved.
• Coordinate the drivers and loaders i.e. gantry Supervisors and operators.
• In case TIPER seals are used, after loading, inspect seals at offloading valves then allow the truck to exit the terminal by sign gate pass.
• Prepare all dispatch documents, Gate pass, etc.
• Monitor Dispatch Performance
• Perform additional duties as required by management.
CONTEXT AND ENVIRONMENT
• Working in shift and sometimes long hours, during the weekend, public holidays and late at night.
• Close coordination with;
o Internally: Operations Manager, Gantry Superintendent, Customer Care Supervisor, IT, and Finance team.
o Externally: Customers, Transporters and Drivers
• Complex environment: Interaction with various stakeholders, drivers etc.
ACCOUNTABILITIES
• Ensure all reports pertaining to loading at the Gantry are prepared and forwarded to respective recipients in time.
• Ensure that the product quantity on loading forms /cards are as advised by the client and stocks analyst.
• Make follow up with Customer Care Office in order to receive orders in time.
• Ensure all HSSEQ policy are followed effectively.
• Keep the record for loadings.
MINIMUM REQUIREMENTS:
A. Education:
• Advanced Diploma / Bachelor Degree in Business-related fields.
• A certification in logistics and supply is an added advantage.
• The job holder must be computer literate.
B. Experience:
• A minimum of 3 years working experience in a similar role
